Outsourcing has become a go-to strategy for organizations seeking to optimize operations and cost efficiency. It’s particularly prevalent in industries like aviation, where Maintenance, Repair, and Overhaul (MRO) services play a critical role in ensuring fleet readiness and operational efficiency.

However, while outsourcing aircraft maintenance can bring undeniable benefits, it’s not always the golden solution it’s often perceived to be. In fact, more and more airlines are attempting to increase their insourcing and MRO capabilities to ensure the availability of sufficient capacity.

Silos are a potential outsourcing pitfall

The aviation industry often turns to outsourcing as a strategic lever to manage Maintenance, Repair, and Operations (MRO) services. This approach can boost cost-efficiency and enhance operational capacity, propelling organizations forward.

However, a subtler issue lurks in the background: the existing silos within organizations can become amplified during outsourcing, creating unexpected obstacles.

Take a typical bustling aviation hub filled with multiple MRO units, each absorbed in their specialized tasks.

While these units may operate effectively in isolation, the shift to outsourcing MRO tasks can intensify this inherent siloed structure.

To understand this better, picture a complex outsourced MRO activity such as an engine overhaul. This task demands intricate collaboration among various internal departments and external vendors, ranging from procurement to ground engineering teams.

In an environment where silos are intensified, vital information risks becoming confined within these individual compartments.

For instance, if the procurement department receives delayed information about a specific part requirement or the ground engineering team misses updates about the arrival of these parts, it can result in significant task delays.

This collaboration gap can lead to increased costs and unplanned fleet downtime, ultimately impacting overall operations.

The scenario takes a complicated turn when traditional, paper-based MRO data workflows come into play.

Compliance management in an engine overhaul, for example, involves a substantial amount of paperwork. Inefficiencies in recording or processing this data due to outdated paper-based systems can further prolong timelines, escalate costs, and reduce operational transparency.

So while outsourcing presents strategic advantages for aviation companies in managing MRO services, it can unintentionally magnify the existing silos within an organization.

This magnification can act as unexpected turbulence, destabilizing the smooth course of operational efficiency.

To counter these challenges, organizations must stress the importance of better communication and collaboration, ensuring outsourced MRO activities achieve a successful outcome.

There is a solution to this conundrum, and it comes in the form of a cloud.

One of the biggest challenges for aircraft maintenance, repair, and overhaul (MRO) providers is delivering high-quality services within the agreed turnaround times (TATs).

Turnaround time serves as a crucial performance indicator in the airline industry, with companies consistently striving for shorter and more efficient turnaround periods. “There are direct economic consequences if aircraft can’t take off when needed,” Oliver Wyman Partner Randy Starr writes in an article featured on Aviation Week. “An MRO provider wouldn’t stay in business very long if it consistently failed to meet customer requirements.”

That’s why it’s essential to have a clear and accurate view of the MRO process, from planning to execution to delivery.

So, what’s the first step toward more predictable turnaround times?

Begin by reevaluating your MRO environment. Is there genuine end-to-end transparency and visibility, or do silos exist, hindering the necessary transparency and visibility?

Silos lead to poor transparency and visibility

Siloed MRO operations frequently plague traditional aircraft MRO management processes. Starr has pointed out that business departments or units often operate in isolation, withholding information from the wider enterprise or generating data that is only relevant to their specific unit.

These silos create barriers to effective communication, becoming a breeding ground for confusion and delays. For instance, when procuring parts to complete an MRO process, the purchasing team might not be aware of the current inventory or the exact needs of the maintenance crew. They end up ordering too many parts, too few, or the wrong parts altogether, resulting in waste and delays.

Critical information becomes confined within these silos, leading to misunderstandings and misinterpretations of data.

With siloed operations, the procurement team might not be aware of a delay from the supplier due to a lack of communication between teams. Consequently, the maintenance team would be waiting for a part that was not going to arrive as scheduled. This not only causes delays but also creates an inefficient use of the maintenance team’s time, contributing to unpredictable turnaround times.

In another scenario, inspection findings during maintenance need to be communicated to the planning and inventory teams. However, due to siloed operations, this critical information might not be disseminated quickly or accurately enough. This could result in delayed responses, such as ordering necessary parts or adjusting work schedules, and eventually lead to extended MRO turnaround times.

In the face of these challenges, the need for transparency and visibility in MRO operations becomes clear.

These two elements—transparency and visibility—are essential in making MRO turnaround times more predictable.

Transparency fosters better planning and execution

Transparency ensures everyone involved in the process has access to the necessary information for effective planning and execution. It reduces confusion, encourages accountability, and builds trust.

Transparency ensures that all stakeholders receive comprehensive and essential information from the outset and in real-time. This empowers the entire organization to plan more accurately, anticipate challenges, and allocate resources more efficiently. It also reduces miscommunication and the possibility of errors, both of which can lead to unexpected delays.

Visibility enables real-time monitoring and adjustments

Visibility is about the ability to track and trace components, processes, and transactions within the MRO ecosystem. It keeps all stakeholders informed about the progress, allowing for real-time adjustments as needed.

Visibility allows everyone involved to track the status of operations as they happen. This real-time intelligence allows for the instant detection of issues or bottlenecks. As a result, everyone can take immediate action to resolve these issues rather than wait until they’ve caused significant delays.

The complementary forces of transparency and visibility work together to create an efficient process with less room for error and delay. They lay the foundation for a predictable and reliable turnaround time.

But to achieve a high degree of transparency and visibility, it is vital to break down the operational silos that often cause disjointed and chaotic processes.

When these silos persist, transparency and visibility suffer, leading to a multitude of errors and delays. These shortcomings present significant barriers to achieving predictability and efficiency in MRO operations.

In the context of MRO operations, Deloitte explains that integration refers to the unifying linkage of various systems and processes to promote improved communication and collaboration. Contrarily, orchestration goes one step further. To maximize effectiveness, cut waste, and cut costs, integration means the active coordination and management of various interconnected systems and processes. Organizations may greatly improve their operational efficiency, lower costs, and maintain competitiveness in the fast-moving MRO market by utilizing the power of orchestration.

Understanding Integration and Orchestration in MRO Operations

Integration is the process of combining numerous independent systems, tools, and procedures to function effectively together. It ensures effective coordination, data sharing, and communication amongst various MRO operations aspects.

However, orchestration takes things a step further. It entails steering these coordinated parts toward the accomplishment of a shared objective, such as improving operational effectiveness or lowering costs. Similar to conducting an orchestra, orchestration involves coordinating the performance of various instruments (systems) to produce a musical composition (optimal MRO operation). Orchestration strategically manages these connections to provide the greatest results, while integration focuses on creating links between various systems and processes. Orchestration is the strategic driver, whereas integration is the enabler. It’s the distinction between a cohesive team where everyone understands their position and an organized team that knows how to work together efficiently to succeed.

Integration has several advantages. It breaks down information silos, improves communication, and guarantees that all areas of the MRO operation have access to the most recent information. Integration, nevertheless, is not without its constraints. Although it links systems and processes, it may not always optimize them. Redundancies, inefficiencies, or conflicts may still exist that integration cannot resolve on its own.

That’s where orchestration comes into play. Advanced solutions like EMX Cloud provide orchestration, which actively maintains and improves these integrated systems and processes. Redundancies can be found and removed, workflows can be streamlined, resources can be used effectively, and proactive adjustments may be made based on real-time data and analytics. On the other hand, inefficient operations in these areas might result in a cost structure that is out of control, eroding earnings, and weakening competitiveness.

Understanding Waste in MRO Processes

The existence of waste is a crucial factor in the inefficiency of MRO operations. In this context, the term “waste” refers to non-value-adding activities or resources used in the MRO process, which may result from overproduction, excess inventory, faults, or pointless operations, among other things. Such waste can significantly affect an organization’s profitability by depleting resources and driving up costs. These are aspects of the operations that consume resources — such as time, money, materials, and labor — without adding value to the service being provided or the product being created. The presence of waste can significantly hamper operational efficiency and negatively affect profitability.

Several forms of waste are commonly found within MRO operations:

  • Overproduction: Performing maintenance tasks ahead of schedule or in excess of what is required can lead to the wastage of resources and increased storage needs.
  • Waiting: Delays in maintenance tasks, whether due to unavailability of parts, lack of information, or waiting for prior tasks to be completed, can lead to unproductive time.
  • Excess Inventory: Holding too many spare parts or materials can tie up capital, increase storage costs, and risk obsolescence.
  • Unnecessary Movement: Inefficient layout of tools, equipment, and workstations can result in wasted time and effort in moving personnel or parts.
  • Over-processing: Performing unnecessary procedures or using more resources than needed for a task can waste both time and materials.
  • Defects: Errors in maintenance tasks that require rework can lead to wasted resources and additional costs.
  • Unused Talent: Failing to effectively utilize the skills and capabilities of the workforce can result in missed opportunities for improvement and innovation.

The cost effects of waste in MRO operations can be significant. It might result in indirect expenses in addition to the direct costs of wasting resources. According to a report by Roland Berger, excess inventory and production tie up funds that would be better used elsewhere. Waiting times and unnecessary movement can cause delays, decreasing fleet availability and potential revenue. If a defect compromises regulatory compliance, it may need expensive rework and lead to penalties. Unused talent also represents a lost chance to advance operations, invent, and obtain a competitive edge. All these elements have the potential to severely reduce profitability and jeopardize the financial stability of a firm.

Labor efficiency optimization is crucial for the airline, defense, and maintenance, repair, and overhaul (MRO) industries. These industries are heavily dependent on the performance of their workforce, and any inefficiency in labor utilization can lead to increased costs, reduced productivity, and decreased customer satisfaction.

The Challenges of Labor Efficiency Optimization

As the demand for air travel rises and schedules become more stringent, airlines, defense organizations, and MROs are under pressure to ensure that their workforce operates efficiently. However, optimizing labor efficiencies can be challenging due to the complex nature of these industries. Let us discuss some of these challenges.

Manual data collection and processing
Manual data collection and processing, such as paper-based processes, fragmented data systems, and stubbornly manual operations, can significantly challenge labor efficiency optimization. This process can be time-consuming, error-prone, and prone to delays in identifying and addressing inefficiencies.

Lack of real-time visibility
The lack of real-time visibility into airline systems and most operations can make it difficult for organizations to identify inefficiencies as they arise. This can cause missed optimization opportunities and hinder the labor process’s overall efficiency. Without real-time visibility, organizations may not have access to critical information needed to make informed decisions and improve their operations.

Inefficient resource allocation
Inefficient resource allocation occurs when resources — such as employees, equipment, and materials — are not optimally assigned or used within an organization. For instance, assigning a technician to a task outside their skill set can increase the time required to complete it, resulting in inefficiencies in labor. Likewise, suboptimal resource allocation can cause underutilization of available labor resources and raise the organization’s costs. To achieve optimal results, labor planners need to find the proper equilibrium between ensuring the availability of individual assets and enhancing the system’s overall efficiency.

Organizations in these industries need real-time data sharing and data-driven visibility to address these challenges and improve labor efficiency.

How Real-time Data Sharing and Data-Driven Visibility Can Optimize Labor Efficiency

Real-time data sharing and data-driven visibility are particularly relevant to the airline, defense, and MRO industries, where labor efficiency is critical to the organization’s success. Here are three ways in which these industries can benefit from real-time data sharing and data-driven visibility:

1. Optimizing resource allocation
By optimizing resource allocation, technicians can be assigned to the appropriate tasks at the correct time, ensuring efficient and productive utilization of their skills and expertise. Real-time data sharing and data-driven visibility can help organizations achieve this by assigning tasks to the most qualified technician or identifying areas where additional resources are needed, thereby reducing downtime, improving turnaround times, and increasing overall efficiency.

2. Identifying inefficiencies
With real-time data sharing and data-driven visibility, organizations can quickly identify inefficiencies in their labor process. This can include identifying areas where technicians are spending too much time or where there is a backlog of work. Efficient MRO operations and quick turnaround times are crucial for maintaining the reliability and availability of aircraft fleets, which in turn directly impact customer satisfaction and profitability. With airlines operating on tight schedules and facing increasing pressure to minimize downtime, there is little room for error or delay in the MRO process. This calls for streamlined maintenance workflows and improved communication among stakeholders to significantly reduce turnaround times, minimize costs, and ensure compliance with ever-evolving regulatory requirements.

However, a common challenge hindering the optimization of MRO operations is the collaboration gap — a disconnect between various stakeholders in the maintenance process, often resulting from communication barriers, data silos, and disparate systems. This gap can lead to inefficiencies, errors, and delays, all of which negatively impact turnaround times and overall MRO performance.

The Collaboration Gap in MRO Operations
The collaboration gap in MRO operations refers to the lack of effective communication, coordination, and data sharing among various stakeholders involved in the maintenance process, including airlines, MRO providers, and OEMs. This gap can arise from a variety of factors, such as the use of disparate systems, outdated technology, and organizational silos, ultimately leading to disjointed processes and inefficiencies. As each stakeholder plays a crucial role in ensuring the safe and efficient maintenance of aircraft, closing the collaboration gap is essential for optimizing MRO operations and reducing turnaround times.

Several challenges in MRO operations can contribute to the collaboration gap, including:

  • Communication barriers. Differences in communication methods, time zones, and language can create misunderstandings and slow down information exchange between stakeholders, leading to inefficiencies and delays in the maintenance process.
  • Data silos. When data is stored in separate, disconnected systems, it becomes difficult for stakeholders to access, analyze, and share critical information, resulting in a fragmented view of the maintenance process and hindering collaboration.
  • Manual processes. Reliance on paper-based documentation or manual data entry can not only be time-consuming and error-prone but also limit the visibility of real-time information, making it challenging for stakeholders to collaborate effectively and make informed decisions.

The collaboration gap can have significant consequences for MRO operations, such as:

  • Increased turnaround times. Inefficient communication and coordination among stakeholders can lead to delays in maintenance tasks, resulting in longer turnaround times and reduced aircraft availability.
  • Higher costs. The lack of streamlined processes and real-time data sharing can lead to duplication of efforts, errors, and rework, all of which increase the cost of maintenance operations.
  • Regulatory compliance issues. Insufficient collaboration and communication can make it challenging for stakeholders to stay informed about regulatory changes and maintain accurate documentation, potentially resulting in non-compliance and penalties.

Statista reports that there has been a decline in air traffic fatalities over the past 15 years, with 2020 having a total of 137 deaths due to air crashes. Though air traffic fatalities are unavoidable, they can be prevented if airline operators have strict maintenance procedures in place. According to the Federal Aviation Administration (FAA), regular inspections and preventive maintenance are essential to ensure airworthiness. So, as a highly regulated industry, aviation companies must follow established regulations and implement continuous inspection programs to ensure compliance and air safety.

What Are the Types of Maintenance Checks?

Before a plane can be allowed to take off, it must be fully vetted as safe to fly. Regular maintenance is crucial to ensure that an aircraft remains safe and airworthy.

The FAA requires that all aircraft be inspected at specific intervals and must be approved for return to service by appropriately qualified personnel. The three primary types of maintenance checks or inspections (FAR 91.409) are:

1. Annual Inspection

This routine inspection applies to most general aviation aircraft, except those with an approved progressive inspection plan, special flight permit, current experimental certificate, or provisional airworthiness certificate. The inspection must be completed and signed off by a mechanic with an inspection authorization (IA).

2. 100-Hour Inspection

Any aircraft that carries passengers for hire needs to undergo a 100-hour inspection.

3. Progressive Inspections

This inspection aims to minimize maintenance downtime. It requires that an aircraft maintenance schedule be followed according to the manufacturer’s standards. This is the preferred option of owners of large aircraft fleets such as fixed-base operators (FBOs), flight schools, and corporate flight departments.

The FAA also requires each airline or operator to develop a Continuous Airworthiness Maintenance Program (CAMP), which includes a routine and detailed inspection of their aircraft. The program covers everything from preflight inspections to heavy maintenance checks.

Line Maintenance Checks are basic inspections by aviation maintenance technicians. They include inspections of wheels, brakes, oils, and hydraulics levels. An aircraft with an accumulated time of 24 to 60 hours will require this type of inspection.

A and B Checks cover general inspections of the aircraft’s interior and hull. They check for any sign of damage, deformation, corrosion, or missing parts. This is performed every 400-600 flight hours. B checks are now included in the A check phases to reduce aircraft downtime and improve maintenance scheduling.

C and D Checks fall under “heavy maintenance” because of the extensive inspection required. This type of inspection requires an aircraft to stay at a maintenance facility during the required maintenance hours. These hours can vary from 6,000 to 50,000 labor hours.

Aircraft maintenance is a critical process that should never be underestimated. As such, a maintenance program should be strictly followed. Can automation help in this regard?

Trends in Automation

Maintenance checks, although crucial to keep assets operationally available, are also major contributors to flight delays and high operating costs. Aviation companies are now looking into automated aircraft inspection to minimize downtime, improve task planning, and enhance parts management.

Automation in aviation can be broken down into two: to automate physical actions, such as inspections and repairs using machines; and to automate tasks within an operational process.

Although still in its infancy, the use of innovative technologies like Artificial Intelligence, Machine Learning, Internet of Things (IoT), and Robotics, are now gaining traction with connected aircraft. They can be used to automate activities that can reduce human intervention to a minimum. Let us look at a few examples:

Inspection robots and drones

  • Rolls-Royce developed an engine-inspection robot—a miniature cockroach-inspired camera robot—which can be deployed in “swarms” to help inspect difficult-to-access components.
  • MRO Drone’s autonomous drone can examine a full narrowbody exterior in just 30 minutes and a widebody in one hour.
  • Invert Robotics’ robot is outfitted with state-of-the-art cameras and sensor technology that records and transmits video images to a ground-based screen for real-time analysis by line maintenance staff.

Hangar of the Future

  • Airbus’ Air-Cobot robot could be utilized to automate maintenance activities and speed up data capture.

Augmented and Mixed Reality

  • The Next Generation of Aviation Professionals (NGAPs) has teamed up with Microsoft HoloLens to facilitate technician training on how to maintain an aircraft by overlaying 3D holographic content in the real world.
  • Boeing uses AR “smart glasses” from Upskill to simplify complex wire installation. This has resulted in a 25 percent reduction in production time and virtually zero errors.

Automating tasks, especially in automated maintenance systems, can only be possible if there is a seamless data exchange. Data must be in digitized form. A paperless system that stores data in a centralized location, available across different processes, can increase operational efficiency. Let us look at this scenario:

During a flight, an aircraft developed a fault in an operational sector. The central maintenance computer detected the fault and sent the necessary information to a ground station. Because of the airline’s automated maintenance system, the information received by the ground station was then routed to the proper department. There, the maintenance control engineer analyzed the fault and created a work order, including part requisition. The entire process took only minutes, from the time the materials team received a part requisition until the maintenance team received the work order via their mobile tablet, including the parts and tools required for the repair. To finally complete the work order, the engineer signed it digitally on his tablet and updated the aircraft records.

This is just one of the many ways an automated maintenance system can create a seamless workflow for an organization. To answer the question about whether complete automation is possible or desirable in aircraft maintenance scheduling – yes! Thanks to digitalization and the availability of emerging technologies. If you are new to this concept, some third-party providers can help you understand the potential of automation when maintaining your aircraft.

In 2019, the Federal Aviation Administration released a new policy statement on “the use of remote technology that is applicable for designees conducting certain inspection and test witnessing activities.” The policy gives information on the application of remote technology to carry out prototype conformity inspections, engineering and ground tests, compliance inspections, production conformity inspections, and inspections for the issuance of an Authorized Release Certificate. The FAA has determined that the performance of certain inspections and tests using remote technology can:

  • Be more cost-effective
  • Improve certification timeliness
  • Reduce FAA and industry resource burdens

As easy as it may sound, airlines and MRO providers may still fall short in navigating this labyrinth. On one hand, such virtual inspections — involving quality inspectors, maintenance team, as well as anyone tasked with inspecting and auditing assets and operations — can be done via meeting software and websites like Zoom, Team Meeting, or Skype. On the other hand, remote inspections also entail the use of software applications where tracked communication and documentation must take place. This is where the need for cloud-based MRO software is drawn upon.

Benefits of Implementing Cloud-based MRO Software

From a high-level perspective, a cloud-based MRO software application enables airline MROs to seamlessly track where equipment and parts are — a very important feat in the socially distanced environment we’ve been living in. It allows quality inspectors, maintenance teams, as well as anyone tasked with inspecting and auditing assets and operations to:

  • Share the findings on remote inspections
  • Describe needed corrective actions and recommendations
  • Document results for internal use (which is also necessary as compliance evidence)
  • Document through videos and pictures
  • Organize virtual audits
  • Schedule future inspections

Overall, implementing cloud-based MRO software can improve the efficiency of aircraft safety inspections, enabling safety inspections to take place in a shorter time. It also eliminates the need for inspectors to travel from site to site, hence increasing their availability — which can be used for examining further potential safety issues reported by FAA-certified mechanics.

The aviation industry has been using legacy operating systems to “keep the lights on” for a long time. This is the norm. They continue to accumulate siloed information from different sources, such as sensor data from aircraft and mechanics, maintenance planning information, and content data from paper and PDF task cards and records.

However, unexpected events can happen anytime, which may force the aviation MRO companies to have limited access to their paper-based data and legacy applications. In stark contrast, companies who started their journey towards a paperless system can survive this easily.

Digitalization is a critical move towards the paperless system. MRO companies can disrupt operations if they do not adopt new technologies like Artificial Intelligence (AI), Digital Twin, and Augmented and Virtual Reality (AR/VR).

Digital is the way to go

The industry’s over-reliance on paper aircraft logs and maintenance records costs billions of dollars. It also makes it more difficult to manage operations and aggravates operational and technical inefficiencies. To future-proof the MRO landscape, companies must adopt digital platforms and new-normal practices.

Remote digital inspections

Some MRO operations, such as maintenance, repairs, and inspections, can be halted in case of travel restrictions. But thanks to digital applications such as AR/VR, and live video feeds, remote maintenance and inspections are now possible.

Remote MRO training

MRO organizations use smart glasses, heads-up displays, and VR simulations to improve training, increase operational efficiency, and reduce costs.

Remote regulatory visits

The regulatory landscape quickly adapts to changes as regulators have embraced remote technologies to validate and perform critical activities.

Remote support and troubleshooting

AR/VR applications are speeding MRO operations. Operators can report on and perform repairs quickly using wearable or mobile devices.

Many MRO companies are now implementing remote work setup. More than ever, it is now more applicable to use e-signatures to help authenticate electronic correspondence and records sent across extended repair stations. E-signature will remain critical to aviation MRO companies. Moreover, as regulatory bodies have amended the requirements to favor remote technology adoption, MRO organizations will be more comfortable replacing physical signatures with electronic records and an e-signature.

Digitalization is inevitable. Soon, many companies across various sectors worldwide will leverage digital platforms in addition to a paperless system. EmpowerMX provides a complete suite of modular digital MRO solutions designed to work in mobile and desk environments.

Back in 2001, the Federal Aviation Administration’s (FAA) Flight Standards Service made an operational bulletin permitting the use of digital signatures on aircraft maintenance records. This announcement would solidify a decades-long movement toward electronic record-keeping within the industry. Fast-forward to 20 or so years later, the FAA has also announced policies that allow the use of video links and other remote technologies for inspection and regulatory compliance. To keep up in a fast-paced industry, aircraft maintenance organizations and airlines have adopted the use of e-signature solutions as an important tool amongst their other digital process improvements.

An electronic signature — or e-signature — is a straightforward, simple, and secure way to obtain consent or approval on electronic documents. They are legally binding, secure, auditable, and efficient, and they reduce the use of paper as well as the need for face-to-face interaction.

Airbus, the largest commercial aircraft manufacturer with more than 130,000 employees, is one of the early adopters of e-signature technology. The company has implemented e-signature for years now in order to accelerate business workflows and digital transformation initiatives while maintaining compliance with international standards. In doing so, the company aims to improve quality control and generate release documents more efficiently.

Another adopter of e-signature solutions is AAR, an independent provider of aviation services to commercial and government customers globally. In 2020, the organization’s Vice President of Repair and Engineering Services, Brian Sartain, announced the “renewed urgency for MRO businesses to focus on environmental concerns” — and that is enabled by going paperless. “Internal digitization and reducing our usage of natural resources like energy, paper, and water are important to us, and we have made quite a few strides in our MRO network, particularly,” Brian said.

According to the International Air Transport Association (IATA) — the trade association for global airlines, on behalf of around 290 airlines (83% of total air traffic) — “qualified e-signatures have the same legal validity as handwritten signatures.”

Benefits of e-signatures

Security, efficiency, convenience, unified documentation, and sustainability are just some of the reasons why your MRO organization should also shift to paperless e-signature solutions.

Secure documents in the cloud make it to the right people and organizations with enhanced security measures, such as automatic verification steps that prevent the documents from being opened by unauthorized people (something a paper-based procedure cannot do). Efficiency and convenience are also some of the benefits of e-signing, considering that the documents can be signed through the authorized signatory’s business tablet or phone. Most providers of e-signatures also offer unified and secure storage for important documents, so no need to search through physical folders and cabinets. Last but not least, is sustainability. Going paperless is good for the organization and for the business.

Implementing e-signatures can be the first step toward digitalization

With the rising competition globally, implementing digital technologies has become crucial for MRO companies to set themselves apart from the competition. To create a continuous data flow through the multiple levels of the production workflow, MRO leaders are looking into digitalization technologies such as e-signature solutions. Digitalization — or the implementation of digital technologies — can help restructure the communication between stakeholders, thus enabling innovation across organizational operations.

Digital platforms are the future for MRO and countless other industries — and e-signature solutions are among the first to define the future of regulations. Thus, it is best to make use of a reliable MRO software suite that combines many powerful functionalities — so you can implement e-signature solutions while retaining compliance. Such investments are not small, so they have to be maximized.

With EmpowerMX, you get access to various Cloud-based and e-sign technology solutions that will help you optimize your operations and leverage your investments’ full potential. Learn more at www.empowermx.com.

As early as 2002, the Federal Aviation Administration (FAA) already released an advisory on the Acceptance and the Use of Electronic Signatures, Electronic Record Keeping Systems, and Electronic Manuals. It is known as AC 120-78, which was revised to AC 120-78A to reflect technological advances and best practices regarding the acceptable use of e-signatures, e-records, and e-manuals.

The aviation industry, particularly the MRO, is highly regulated. As such, they often rely on paper documents to prove compliance. These range from the requirement of paper-bound manuals to routing printed task cards, which are necessary for the legal and financial management of business operations.

While you can still rely on paper for today’s regulatory requirements, it will cause bottlenecks in your processes later. Utilizing a digital MRO solution can significantly improve the overall efficiency of your MROs. The first step in implementing a paperless maintenance operation is to use electronic technical logbooks and e-signatures.

The Road to Paperless Operations

Electronic Technical Logbooks (ETLs) and e-signatures can help eliminate paper and streamline crucial processes within ide maintenance operations. For instance, the maintenance crew can use ETLs to monitor the aircraft’s maintenance status. Pilots, on the other hand, can use e-signatures to sign-off log books electronically. Although these technologies are not new in the aviation industry, strict regulations and initial investment costs have prevented widespread adoption.

The regulatory bodies are open to paperless operations. In fact, they offer guidance on how to use the technologies behind paperless campaigns. But MRO operators should present a plan that can prove the security and reliability of the system, including the e-signature. This is a critical step to show the regulators that the system will not be compromised.

The European Union Aviation Safety Agency (EASA) offers some specific guidelines regarding the use of e-signatures:

  1. Uniqueness. The e-signature must be unique to gain regulatory approval. It needs to be identifiable only to one person and protected against duplicates.
  2. Significance. The individual should affix his e-signature deliberately. It cannot be an automatic sign-off.
  3. Scope. The individual must be aware of the details he is confirming his e-signature.
  4. Digital security. The system should ensure that it is difficult or impossible to forge an individual’s e-signature.
  5. Non-repudiation. The system must prove the credibility of the sign-off. It is not permissible for the individual to contest that he signed his e-signature.
  6. Traceability. The system should be able to provide a log or history of every e-signature used to sign off a record or any other document.

Without any knowledge, it is dangerous to develop a detailed plan for the use of e-signatures. Third-party providers can help you develop a paperless system that is compliant if you lack the necessary expertise.
